Scope

This policy applies to USATKDfamily.com and AKYSfamily.com, the family portals for US Academy of Taekwondo and Awesome Kids Youth Sports in Stafford, Virginia. It covers information supplied through these portals and related program communications. Separate marketing websites and external services may have their own policies.

Information we collect

We collect information you provide, including adult and student names, contact details, dates of birth, family relationships, authorized pickup contacts, enrollment information, attendance, emergency contacts, and health or accommodation information supplied for participation. We also process orders, payment status, agreements, consent choices, and communications. Account activity and technical information, such as browser information and security logs, may be processed to operate and protect the portals.

How we use information

We use information to manage accounts and programs, connect students with their families, support safe pickup and participation, track attendance and progress, process purchases and authorized tuition payments, respond to requests, and send communications consistent with your consent. Staff access is limited according to their responsibilities. We do not sell personal information.

SMS consent and mobile information

Providing a phone number, creating an account, buying a product, or accepting general terms does not by itself enroll you in promotional text messages. SMS consent is collected separately. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be sold, rented, or shared with third parties for their marketing or promotional use. Providers that deliver communications on our behalf may process only the information needed to provide that service.

Service providers and necessary disclosures

We use service providers for hosting, account management, payment processing, communications, and program administration. These may include Cloudflare, Authorize.net, Twilio, and Source One where those services are used. Information is provided as needed to perform services on our behalf, not for a provider's independent marketing. We may disclose information when required by law or necessary to protect safety, investigate misuse, or enforce agreements. These disclosures do not authorize third-party marketing use of SMS consent.

Payments

Payment processors handle card entry and payment processing. When you explicitly authorize saving a card, a reusable payment profile may be stored with the relevant processor for later authorized payments. Saving a card is separate from authorization to charge it. Card verification codes are not retained for future charges.

Children and family accounts

Parents or guardians should supply and manage information about children. We use student information for program participation and family services. Contact us to review or correct a child's information or discuss deletion. Public use of student photos or testimonials requires separate permission; SMS consent does not grant publicity permission.

Cookies and external services

The portals use browser storage or cookies as needed for sign-in, preferences, and site operation. Embedded videos, external links, and third-party services may process information under their own privacy policies. Browser settings can restrict storage, but some account features may stop working.

Retention and security

We retain information as needed to operate programs, maintain consent and payment records, resolve disputes, and satisfy applicable recordkeeping requirements. We use reasonable safeguards and access controls. No internet service can guarantee absolute security.

Your choices and requests

Contact masteryoung@staffordtkd.com to request access, correction, or deletion of your information. We may verify identity and retain records needed for legal, financial, safety, or dispute purposes. To stop texts, reply STOP to the sending number. Reply HELP for assistance. Email preferences can be changed through available unsubscribe links or by contacting us.
